inSITE Mobile FM allows users to document structure maintenance and repairs using electronic forms. inSITE’s maintenance forms display color-coded structure inspection results to quickly inform crews of needed repairs.
Starting Maintenance
- Tap the Maintenance tab.
- Tap a work order to select it.
- Tap the Open button.
- Tap a structure icon on the map or tap a structure name in the interactive list
- Tap Start Maintenance to begin documenting structure maintenance.
- The Start Maintenance option is only available for structures included in the current work order.

Documenting Maintenance
- Open the Maintenance tab and review the color-coded indicators in the maintenance menus. Each menu’s color code indicates the current inspection status for the corresponding structure component. The Maintenance tab uses the same color codes as the map:

- To repair a component identified during inspection
- Tap the maintenance menu for an item with Needs Repair, Reject, or Critical status.
- Review the available repair options in the maintenance menu you selected. Each repair option lists the most recent inspection or maintenance results under Previous Status.
- Locate a repair option with a status of Needs Repair, Reject, or Critical.
- Tap the Comment box and type a description of the repair you’re documenting. After you’re entered a comment, the repair button (wrench icon) will turn blue.
- Tap the repair button to indicate that the repair is complete. Once all necessary repairs are complete for a maintenance menu, the menu’s color code will turn blue to indicate a status of Repairs Made.

Ad Hoc Repairs
inSITE Mobile FM allows maintenance crews to document repairs that were not identified during the most recent structure inspection.
- Tap the maintenance menu corresponding for the component that needs repair.
- Find the appropriate repair option in the maintenance menu.
- Tap the Comment box and type a description of the repair you’re documenting.
- After you’re entered a comment, the repair button (wrench icon) will turn blue.
- Tap the repair button to indicate that the repair is complete.
Structure Photos
inSITE Mobile FM requires users to upload at least one structure photo before structure maintenance is complete. You must take or attach at least one structure photo before submitting your maintenance results.

- Tag the photo
- Tap one or more tag buttons to indicate which structure components or inspection details the photo captures.
- Tap Done to attach the photo to your maintenance results.
- To Review the photo
- Tap the Photos tab at any time during a structure maintenance to review the photos currently attached to your maintenance results.
- To add or remove tags
- Tap a photo thumbnail in the Photos tab to enlarge the photo
- Add or remove photo tags
- Tap Done to save the changes to the photo tags
- OR Tap Back to cancel and return to the Photos tab.
- To delete a photo
- Long press a photo thumbnail in the Photos tab until the photo delete dialog appears.
- Tap Delete to remove the photo from your workorder
- OR Tap Cancel to run to the Photos tab.
Completing Structure Maintenance
- Finish documenting maintenance
- Add at least one structure photo to your work order
- Tap Done to complete the work order
- View a summary of your work order
- Ensure all necessary repairs made are documented. Tap Cancel to return to the Maintenance tab to make corrections or tap Submit to complete the structuremaintenance and proceed to the next structure in your work order.

- inSITE Mobile in online mode - the app will sync your work order with the server each time you submit before returning to the map.
- inSITE Mobile in offline mode -the app will save your results to sync when you return to an area with wi-fi or mobile data connectivity. For more on syncing, see Syncing Work Orders.
