Creating and Assigning Spot Inspections

Spot inspections allow facility managers to assign immediate or urgent inspection tasks for individual assets. Assigning a spot inspection is the fastest way to direct your resources to a problem or concern identified by a customer, passerby, or other third-party observer. The Spot Inspection widget sends a notification to the specified users with details about the problem and creates a single-asset work order that one of the notified users can assign for inspection or maintenance.

 

Creating a Spot Inspection

  • Open the Spot Inspection widget

 

  • Type the name of a circuit in the Transmission Line box or select a line from the drop-down menu.
  • Type the name of a structure in the Structure box or select a structure from the drop-down menu.
  • Click Submit to pan the map to the selected structure and enable the Spot Inspection menu.
  • If desired, type the email addresses, separated by commas, for the team members you want to notify about the spot inspection in the Notify Users (Email) box.
    • Check the boxes for all relevant inspection attributes to include in the spot inspection notification.
    • Use the radio buttons to indicate whether the structure needs repair or is in critical condition.
  • To attach photos to the spot inspection notification, click the Browse button then navigate to the photo or photos you’d like to upload. Click Show Images to review or delete the selected images.
  • If desired, write additional information about the spot inspection in the Comments box.
  • Click Create SWO to send email notifications to the specified users and create a spot inspection work order for the specified structure.
    • Creating a spot inspection work order does not automatically assign the created work order to a mobile user for inspection or maintenance in the field.

 

Assigning a Spot Inspection

After a user creates a spot inspection, it will appear in the work order library with a status of Saved. To assign the spot inspection, open the Facility Inspection widget and click on the WO Library Tab. Click on the WO ID column header in  the work order list to sort the list by work order number, and scroll to the work orders beginning with SWO (spot work order).

Click an unassigned spot inspection work order to highlight it. Click Open to view the work order details. Select a user from the Crew drop-down menu and click Assign to assign the spot inspection work order to the selected user.
